How to view the revision history of a booking?

Siana automatically records every action performed on a booking, whether from the back office, the booking engine, or the API.

From the Revision History, it is possible to check what changes have been made, who made them, and at what exact time, ensuring full traceability of services, employees, prices, and statuses.

How to access the revision history?
  • Go to Records > Appointments.

  • Locate the booking you want to review.

  • Click the Revision history button (clock icon with arrows).

  • View the complete timeline of events on the new screen.

📌 Note: The booking reference (for example, SPSPD000001580) is always visible in the header to confirm that the correct booking is being viewed.

What information is shown in the history?

The history is presented as a timeline ordered from the most recent event to the oldest. Each row shows the following data:

  • Date of change: exact date and time of the modification.

  • Event type: description of the action (creations, modifications, or cancellations).

  • User: email address of the person who executed the change.

  • Service: name of the affected service or quantity of services.

  • Service date: when the appointment was scheduled.

  • Changes: number of fields that were modified.

🔍 How it works: Events are grouped and differentiated by colours according to their nature. The colour green indicates creations, blue indicates modifications, and red identifies deletions or cancellations.

📌 Note: Events at the Booking level affect global information (customer or sales channel). Events at the Appointment level impact specific elements (staff, resource, or schedule). If two events are displayed with the same time, it means both the Booking and the Appointment were modified at the same time; Siana separates them to ensure complete traceability.

Important: The revision history is a read-only audit log. Editing or deleting any event is not permitted for security reasons.

How to view the details of a change?
  • Click on any row in the history to expand the event.

  • Locate the "Changes made" panel showing a field-by-field comparison.

  • Identify the previous value (crossed out, in light red) and the new value (in light green) after the arrow (→).

    💬 Example: If the service is changed from "Indian Scalp Facial Massage" to "Full massage 50'", both names are displayed side by side to quickly spot the modification.

🔍 How it works: The ● symbol indicates that the value was empty. If a field changes from having data to having none, the previous value is displayed crossed out and the dot as the new value.

What fields are included in the details?

Depending on the event type, the details may include:

  • Customer data: name, email, phone.

  • Sales channel: channel, buyer group, seller.

  • Appointment data: service, employee, resource, date, time, duration, quantity of people.

  • Prices: price, total price, discount, commission, pending balance, paid.

  • Status: appointment status, payment status, check-in.

  • Other: seller comments, customer comments, booking reference, payment method.

Important: Price fields always show the currency symbol configured in the centre. Percentages always include the % symbol.

🔍 How it works: Statuses appear with a colour code: green (accepted, completed, paid, check-in), blue (pending, partial, unpaid), red (cancelled, no show), and grey (free, no check-in).

How to filter the history?

To locate specific events in highly active bookings, the top search tools can be used:

  • Search: type any text (minimum 2 characters) to search by email, service name, or internal values. Matches are highlighted in yellow.
    🔍 How it works: When searching for text, if matches are inside the details of a change, the corresponding rows expand automatically.

  • Date range: select a specific period or use presets (today, last week, last month...).
    📌 Note: The history displays all events recorded since the creation of the booking, so it is possible to audit changes in old bookings with no date limit.

  • Event Type: filter by a specific type (appointment created, booking modified, etc.).

  • User: filter by the user who made the changes.

🔍 How it works: When there are active filters, they appear as chips below the filter bar. Each filter can be removed individually by clicking the ✕ on the chip, or by clicking "Clear filters" to remove them all at once.

How to expand or collapse all events?

In the history header, there is a general switch. Its use allows:

  • Expand all: click to see the details of all events simultaneously (useful for a complete overview).

  • Collapse all: click again to close all detail panels and keep only the summary view.

How to print the history?
  1. Click the print button (printer icon, next to the expand switch).

  2. Notice how the system automatically expands all events to include the full details.

  3. Use the browser's print dialog to get the document or save as PDF.

📌 Note: In the printed version, Siana hides the filter controls and action buttons to maintain a cleaner document.
