How to edit an existing booking?

If you want to edit a booking that has already been scheduled, you can locate it either from the Agenda or from Records > Appointments.

  • From the Agenda
    • Find the appointment in the Agenda.
    • Click on it.
    • Click again on the edit (pencil) icon to open edit mode.

  • From Records > Appointments
    • Go to Records > Appointments.
    • Enter the booking reference in the Search by code field or use the available filters.

    • Once the booking is located, click the pencil icon or View / edit in the Agenda.

With the booking open, you can update the following details:

  • Appointment date and time
  • Booked service
  • Assigned employee
  • Assigned resource
  • Customer group or sales channel
  • Internal comments
What happens if the change affects the price?

If you change the customer group or sales channel and this implies a different rate, the system will display two warnings:

  • A notice at the top of the booking indicating that a price change may occur.
  • A message in the appointment with two options:
    • Apply new
      The price is automatically updated according to the new rate.
    • Keep rate
      The original price is kept, even if the customer group or channel has changed. 
How to notify the customer of the changes?

Before saving the appointment, you can enable the Inform the customer option so the customer receives an email with the applied changes.

 

💡 Tip: If the changes are only internal (for example, a change of employee, resource, or internal comments), it is recommended not to enable the notification to avoid confusing the customer.

 

Once you have reviewed all the information, remember to SAVE the changes before leaving the appointment.
